Automatic notification of changes (Admin)

Administrators can activate automatic notifications (notifications of changes) for all folders in the data room. Select a folder and open “Properties” in the right-hand function bar.

Open the “Notifications” tab and click on the “Address book”.

Select the users or user groups who are to be notified of changes in the selected folder and its subfolders.

You need to be aware of these things with automatic notifications

  • Users can activate and deactivate notifications for their folders themselves. They can also have messages summarized. Depending on the setting, they are then informed of all changes hourly, daily or weekly.
  • Notifications are generated when a new file or file version is created, deleted, copied or moved.
  • Notifications are always sent for each individual action. To reduce the number of notifications, combine actions where possible. For example, do not upload files individually, but at the same time, collected in a folder or as a zip archive.
  • Users do not receive any notifications about actions they have carried out themselves.
  • Administrators can activate or deactivate the notification function for the entire data room in the “Document settings”.

To see in which folder a user has activated notifications

Select a group or user in “Groups & Users”. Open the “Accessible Files” dialog. You will now see all folders and documents that the group or user can access. Folders with active automatic notification are marked with a small bell symbol.

Alternatives to automatic notification

In the “New/changed” list in the left-hand navigation bar, you can also get an overview of which folders and documents have been changed or newly created in a specified period.
