Verification of external e-mail addresses (netfiles Enterprise)(Administrators)

As a netfiles Enterprise Administrator, you can access the “Administration > Settings” and then “User administration” to specify a verification interval for external e-mail addresses.

If this entry is set, the e-mail addresses of external users must be verified regularly. Without valid verification, these users will no longer be able to use the data room.

This security function allows you to prevent external users (e.g. employees of a partner company) from continuing to log in to the netfiles data room after a longer period of time.

After selecting an interval (30, 60, 90, 120, 180 days), users who do not use an internal e-mail domain must first verify their e-mail address when logging in to netfiles after the specified time interval. This time is independent of the time of the last login. “External users” are all user accounts in which an e-mail address is used that does not belong to the domains specified in “Internal e-mail domains”.

Under “Administration > users”, the corresponding users are marked with “Verification pending”. A corresponding note is also displayed in the “Users” export lists.

External users are automatically sent a security code by netfiles to the e-mail address stored in their user account the first time they attempt to log in after the set number of days (“verification interval”). After logging in, users see the following window:

After entering the security code, the user is forwarded to the data room.

The correct entry of the security code to verify the e-mail address is only required once in each verification interval.
