Create shared annotations (comments) to files

In netfiles you have the possibility to create shared annotations to files. Shared annotations are comments, notes or marks in documents that you create for yourself and all other users who can see these documents. Any user who has the right to download the document can download it with the shared annotations.

Select the desired document at “All Documents” and select “Shared Annotations” (pen symbol with figure) in the center at the top.

Then click on the pencil in the upper right corner.

There are several ways to create annotations.

  • Free drawing and highlighting text
  • Stamps (you can also create your own stamps)
  • Notes (notes with icon)
  • Text
  • Lines, arrows etc.

Created annotations are automatically saved after a few seconds. Annotations are also saved when you close the document.

On the left you can get an overview of your created annotations by clicking on “Thumbnails” and then “Annotations”.

You can see the creation date in the “Annotations” overview and delete annotations if necessary.

If you want to download the file with the annotations, click on the lower download arrow in the upper right corner. If you use the download arrow next to the close X, the file will be downloaded without the annotations. Please note that a download is only possible if you have been given the relevant access right by the administrator of the data room.

Administrators can switch the feature for the data room on or off in the data room settings under “Preview & Watermarks > Shared Annotations”.

Please note:
If the “Open XLS files in navigable preview” feature is activated in the netfiles data room, no shared “annotations” can be created in Excel files.

If areas in the document need to be redacted in addition to the annotations, please do the redactions first. When redactions are made, a new version of the document is created. By redacting first, you can ensure that the annotations are not lost.

Shared annotations are not available in the netfiles mobile app for now.
